Uploading a document
- Go to Knowledge → Documents
- Describe what the document is — "2026 spring catalogue", "our allergen matrix". This helps the assistant work out when to reach for it.
- Drag the file in, or click to browse
- Wait for it to process
Uploaded documents are listed with their size and date. You can change a description afterwards, or delete a document outright.
⚠️ Keep your own copy
The original file is not retained. The text is extracted on upload and the file itself is discarded, so there's nothing to download later. Always keep your own copy.
When a new document takes effect
Uploading isn't instant. The text has to be processed before the assistant can answer from it. The section shows when your knowledge was last synced — if you've just uploaded something and the assistant doesn't know about it yet, that's what to check.
What to upload — and what not to
Good candidates:
- Longer written material you already have — a brochure, a service guide
- Allergen or ingredient tables
- Terms and conditions
- Background about the business that doesn't fit anywhere else
Poor candidates:
- Prices and stock. These belong in your catalog, which is live and outranks documents anyway.
- Opening hours. Same reason — Business basics wins.
- Anything confidential. If it's in a document, the assistant may say it to a customer. Internal margins, supplier costs and staff notes don't belong here.
Keep the set small
Every document is searched on every question. A focused handful of relevant documents gives better answers, and faster ones, than everything you've ever written. If a document is out of date, delete it — a stale document is worse than no document, because it answers confidently.
💡 Pro tip
If a document is mostly one or two facts people ask about, pull those out into FAQs instead. They rank higher and answer more crisply.
